How to Share a File Externally (Limited Access External Share)

Introduction

External Share creates a PDF snapshot of a specific document version (or Working Copy) and lets you share it with invited people under Limited Access. This keeps the original file secure inside Burai.

Steps

  1. Open a document version or Working Copy.

  2. Click Share and choose External Share.

  3. In the External Share modal:

    • Review/edit the snapshot PDF name

    • Select Limited Access

    • Add recipient email addresses

  4. Click Create and Share.

Notes / Tips

  • Invited recipients must sign in with the same email they were invited with.

  • External Share is a snapshot: changes to the source document do not update existing External Shares.

  • Only one External Share can exist per document version or Working Copy. To create another, create a new version or Working Copy first.

  • If the file can’t be converted to PDF, External Share won’t be available.
