How to Check Export/Share Status and Manage Access in File Details

Introduction

File Details helps you understand whether a document is externally shared or exported to Copilot, and lets you manage access to the generated artifacts.

Steps

  1. Open the artifact or document File Details page.

  2. In the Overview tab, review the status (examples):

    • Draft

    • Externally shared

    • Exported to Copilot

    • Adding to Copilot

    • Included in Copilot

    • Export to Copilot is out of date

    • Archived

  3. Find Collaborators with access.

  4. If you have edit permissions, add or remove users/groups using the Share component.

Notes / Tips

  • External Share artifacts keep their own access list and do not sync from the source after creation.

  • For Copilot artifacts, the Organization – All employees group and the company-wide toggle are kept in sync.

  • While ingestion is running, access controls may be disabled temporarily.
