In the Burai WorkOS, each file card provides a set of options to help users manage their files more efficiently. The options available in the menu depend on the user's role and access permissions for each file. These options can be accessed by clicking on the three-dot icon (⋮) located in the top-right corner of any file card.

Menu Options Explained

Once the user clicks on the three-dot icon, the following options become available:

  1. Share:

    • This option allows users to share the selected file with others or team members. Permissions can be adjusted based on whether the user wants others to view, comment, or edit the file.

  2. Add to favorites:

    • Clicking this will mark the file as a favorite, providing quick access from the Favorites section in the main left sidebar or the My Favorites tab. Once marked as a favorite, the option will change to "Remove from favorites," allowing you to undo the action if desired.

  3. Copy share link:

    • This generates a shareable link for the file. The user can copy this link and share it with others to grant them access to the file. When clicked, the ‘Copied’ is displayed in tooltip.

  4. Open source:

    • Selecting this option opens the original source of the file, enabling the user to review and work directly with the file's source material or details. The source opens "outside" of Burai, with a pop-up displaying the file's source.

  5. Publish:

    • This option allows the user to publish the file, making it accessible to a wider audience, either internally or externally, depending on the permissions set.

  6. Archive:

    • Archiving a file moves it out of the user's active workspace, while still keeping it stored within the system. Archived files can be retrieved later if needed, allowing the user to maintain a clutter-free working environment.

File Preview

In the Burai WorkOS, the File Preview feature allows users to get detailed information about a selected file, including its status, creator information and access permissions. When a user clicks on a file card in the My Files section, a file preview pane opens, displaying several important sections.

Opening the File Preview

Files can be either synced or unsynced. Depending on their status, the file preview displays different information. The following details apply to synced files.

  1. Navigate to the Files Section:

    • From the sidebar, the user can click on Files and then select My Files to view the files from their connected drive.

  2. Click on the File Card:

    • To preview a file, the user can click anywhere on the file card. This action opens the detailed preview pane on the right side of the screen, providing insights into the file’s properties and associated tasks.

Once the file preview is open, various sections are displayed, providing details about the selected file.

  1. Progress Completion Status & Status Indicators

    • At the top of the preview, the Progress Completion Status displays the current progress of tasks related to the file, giving the user a visual indication of how much work has been completed.

    • Directly besides the progress indicator, there are status indicators showing the number of:

      • Overdue tasks (red circle)

      • Due today tasks (yellow circle)

      • Upcoming tasks (green circle)

  2. File Thumbnail and Preview

    • Below the progress indicator, the file thumbnail is displayed, providing the user with a quick visual reference of the document's contents. This is especially helpful for easily identifying files based on their layout or format.

  3. Source

    • The source of the document, displayed below the thumbnail, shows the platform from which the document originated (e.g., OneDrive or Google Drive)

  4. File Status

    • The file’s status is displayed (e.g., Draft or Archived). In the Burai tab, only files with the Published status are shown.

  5. Created by / Owner

    • The full name of the person who created or owns the file is displayed. The creator or owner has primary control over the file, including managing access and making key changes.

  6. Created on

  • This displays the exact date when the file was originally created. It helps users track when a document was created.

  1. Modified

    • This displays the date when the file was last updated, helping the user quickly identify the most recent changes.

  2. Modified by

  • The full name of the person who last modified the file is displayed. This helps users identify who made the latest changes to the document.

Access Management

The 'Has Access' section lists the individuals who have access to the file. The user can view the profile pictures of collaborators and contributors who have permission to view or edit the document, and a tooltip displays the user's name when hovered over.

Based on each file's user role and access permissions, click on 'Manage Access' to modify these permissions. This option allows the user to grant or restrict access to others, enabling control over who can view, comment on, or edit the file based on their preferences or team needs.

Description

In this section, the user can provide or view a short description of the file. This is helpful for summarizing the contents or purpose of the file.

Working copies

At the end of the file preview section, information is displayed indicating whether the file has working copies. If it does, 'Yes' is shown to confirm their presence; if not, 'No' is shown to indicate that there are no working copies created.

Interacting with the File Preview

  • Open File: At the top-right corner of the file preview, there is a clickable 'Open' button that allows the user to access the file directly for viewing or editing.

  • Menu Options:

    • Share

    • Add to favorites

    • Copy share link

    • Open source

    • Publish

    • Archive

  • Close Preview: To exit the file preview, the user can either click the button in the top-right corner or click outside the preview pane to return to the document card view.
